How to Choose a CRM as a Solo Real Estate Agent (Without Overpaying)

Many CRMs are built for large teams with admin staff. As a solo agent you do not need a hundred features. You need a system you will open every day that tells you who to contact and when. Use this checklist to choose well.

What a Solo Agent Actually Needs

Must Have

Simple lead list and pipeline view
Automatic follow-up emails or reminders
Mobile-friendly
Easy import and export
Notes and activity history
Fair, clear pricing

Why It Matters

See every lead and what stage they are in
The main reason leads get lost is forgetting
You are rarely at a desk
You should never be locked in
So each message can be personal
Costs should match a solo agent budget

Nice to Have, but Not Required at the Start

Website builder and IDX search
Advanced reporting and dashboards
Built-in dialer and call recording
Team routing and round robin lead assignment

Eight Questions to Ask Before Paying

How long does it take to set up? Can I be using it today?
Can I import my current leads from a spreadsheet?
What does the follow-up automation really do?
Is there a free plan or a trial, with no card required?
What happens to my data if I cancel? Can I export it?
How is customer support offered, and how fast do they reply?
Is there a long contract, or can I leave any month?
Does it work well on my phone?

Red Flags

A long setup that needs a call or a consultant just to begin
A price that jumps sharply after the first year
No way to export your data
A dashboard so full of features that you do not know where to start

The 7-Day Test

Pick two tools and use each for a week with real leads. At the end, ask yourself: Did I open it every day? Did I miss fewer follow-ups? Did it save time? The best CRM is the one you actually use.
